Privacy Policy

Last updated: August 11, 2026 · Effective for outgoingvoice.com and the Outgoing Voice app

This Privacy Policy describes how Outgoing Voice (“Outgoing Voice,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit our website, create an account, use the control plane, or contact us. It is not legal advice about telemarketing or AI calling rules. For how the product is designed around calling policy, see our Compliance page.

1. Who we are

Outgoing Voice provides a B2B control plane for organizations that place outbound AI phone calls: campaign policy, pre-dial safety checks, call review, suppressions, and escalations. We are not a consumer social network and do not sell a cold-list dialer product to the public.

2. Scope and roles

  • Website & marketing visitors — people who browse public pages, request a pilot, or join a product tour.
  • Account users — people who register or sign in to manage an organization on the control plane.
  • Customer content — phone numbers, campaign settings, consent metadata, transcripts, recordings, and outcomes that customer organizations upload or generate while using the Service. For that content, the customer is typically the data controller (or equivalent); we process it to provide the Service under our Terms.

Callees (people who receive AI calls from a customer) should contact the calling organization for most requests about those calls. We may assist customers in responding where the data is stored on our systems.

3. Information we collect

3.1 You provide

  • Account details (name, email, password or auth credentials).
  • Organization name and campaign configuration.
  • Contact messages (e.g. pilot requests to [email protected]).
  • Preview / tour email if you use optional email-gate features before full sign-in.
  • Customer operational data: E.164 phone numbers, suppressions, escalation notes, dial attempt logs, call transcripts, optional recording URLs, and related metrics.

3.2 Collected automatically

  • Technical data: IP address, browser type, device information, approximate location derived from IP, pages viewed, and referring URLs.
  • Cookies and similar technologies for session authentication, preferences (e.g. product tour state), and security.
  • Server logs and diagnostic data needed to operate and secure the Service.

3.3 From providers

When telephony or AI modules are connected, we may receive call events, media metadata, provider call IDs, and usage metrics from those subprocessors solely to run the Service for your organization.

4. How we use information

  • Provide, maintain, and improve the website and control plane.
  • Authenticate users, manage organizations, and enforce access controls.
  • Run pre-dial safety checks, store audit snapshots, and display call review, suppressions, and escalations.
  • Respond to support, pilot, and sales inquiries.
  • Monitor abuse, security incidents, and service reliability.
  • Comply with law and enforce our Terms.
  • Communicate about product updates or operational notices (you can opt out of non-essential marketing email where applicable).

We do not sell personal information for money. We do not use customer call content to train public foundation models unless we enter a separate written agreement that says otherwise.

5. Customer call and list data

Customers are responsible for the lawfulness of their lists, consent, disclosures, and call content. Outgoing Voice provides tools (gates, suppressions, audit records) that enforce tagged campaign policy; we do not certify that a customer’s consent is legally sufficient.

Call recordings and transcripts, when enabled, are stored for the retention period configured by the customer or our default operational limits, then deleted or made inaccessible according to that policy and applicable law.

6. How we share information

We may share information with:

  • Service providers / subprocessors — hosting, databases, email, authentication, telephony, speech, and language services that process data on our instructions.
  • Your organization — admins and members of the same tenant can access workspace data according to roles.
  • Legal and safety — when required by law, legal process, or to protect rights, safety, and the integrity of the Service.
  • Business transfers — in connection with a merger, acquisition, or asset sale, subject to appropriate confidentiality.

We do not sell customer callee lists as a data brokerage product.

7. Retention

We retain account and billing-related records as needed to operate the Service and meet legal obligations. Operational call data is retained according to product settings, customer instructions, and our backup cycles. Demo and sample data may be reset or deleted at any time.

8. Security

We use administrative, technical, and organizational measures appropriate to the nature of the Service (including access controls, encrypted transport where standard, and least-privilege practices). No method of transmission or storage is 100% secure; please use strong credentials and protect your organization invites.

9. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Account users can often update profile data in-product. For other requests, email [email protected] with enough detail to verify your request. Callees should usually contact the organization that called them first.

You can control cookies through browser settings; disabling essential cookies may break sign-in or tour features.

10. Children

The Service is directed to businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

11. International transfers

We may process information in the United States and other countries where we or our providers operate. Where required, we use appropriate transfer mechanisms. By using the Service from outside the U.S., you understand information may be transferred to the U.S. or other jurisdictions.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated by email or in-product notice where appropriate.
